✨ How to Maximize Insurance Coverage

Every plan is different — but here are smart, universal tips to increase your chances of successful reimbursement in Ontario.

1. Book with Practitioners Commonly Covered by Insurance

Many extended health plans cover specific practitioner types — even if the service itself is “hormonal health” or “menopause support.”

The most commonly reimbursed providers are:

  • Registered Dietitians (RD)

  • Registered Social Workers (RSW)

  • Registered Nurses (RN) / Nurse Practitioners (NP) (sometimes under Nursing Services, HSAs, or general paramedical categories)

Tip: If your goal is reimbursement, choose an appointment type or program that includes services delivered by one of these practitioner types when possible.

2. Match the Appointment to a Covered Category on Your Plan

Insurance companies don’t typically reimburse “perimenopause support” or “hormone coaching” as categories.
They reimburse based on provider designation.

So instead of:
❌ “Hormone consult”

Your receipt will list:
✔️ “Nutrition Assessment — Registered Dietitian”
✔️ “Counselling — Registered Social Worker (RSW)”
✔️ “Nursing Health Consultation — RN”
✔️ “Nurse Practitioner Comprehensive Assessment — NP”

3. HSAs (Health Spending Accounts) Cover Almost Everything

If your plan includes an HSA, good news:
Most HSA dollars can be used toward any medically-related service, including:

  • Health coaching

  • Hormone support

  • Dietitian care

  • RSW counselling

  • NP or RN visits

Tip: If your traditional benefits don’t cover something, try your HSA — it’s often the easiest route.

4. Itemized Receipts Increase Approval Rates

Insurance companies love specifics.

Coven receipts include:

  • Practitioner name + designation

  • License number

  • Date + duration

  • Service type matched to covered categories

  • Our clinic information

  • Amount paid

  • Treatment date (critical!)

Tip: Always submit the itemized receipt, not a booking confirmation.

5. Book Before Year-End — But Also Make Sure the Appointment Happens Before Year-End

Most plans reset on January 1, and reimbursement is based on appointment date — not booking date.

Tip:

  • Book now to secure a spot in 2025

  • Keep your receipt somewhere obvious

  • Submit claims as soon as your appointment is complete

6. Use the Exact Physician/Practitioner Language Your Plan Uses

You’d be shocked how many claims are rejected because the wrong title is listed.

Some plans cover:

  • “Nursing services”

  • “Dietitian services”

  • “Psychotherapy / Social Worker (RSW)”

  • “Counselling”

  • “Nurse Practitioner assessment”

Tip: Tell us what category your plan uses — we’ll match our receipts to their terminology.

7. Counselling & Mental Health Categories Are Broadly Covered

If you’re working with us for:

  • PMDD

  • Mood symptoms

  • Anxiety during perimenopause

  • Sleep

  • Stress

  • Relationship with food
    …these may fit under your RSW coverage.

Tip: If in doubt, book with an RSW — it’s the most universally covered category in Ontario.

8. Multi-Practitioner Programs Can Increase Flexibility

Programs that include RSW + RD + RN or RSW + NP give multiple options for coverage submissions.

Tip: If you have limited RD coverage but more RSW coverage, we can structure your visits to optimize reimbursement.

9. Always Save Your Submission Until After the Appointment

Don’t submit anything early — insurance companies will reject anything without a completed service date.
